129 EAST 8TH AVE - INSTRUMENTAL POLICY 2019/2020

ANNUAL TERMS:


WE HAVE THREE SESSIONS PER YEAR: FALL, WINTER AND SPRING, THAT RUN APPROXIMATELY AROUND THE SCHOOL YEAR.

PLEASE CHECK FOR HOLIDAYS AND CLOSURES. WE HAVE OPTIONAL LESSONS DURING THE SUMMER AND ALSO CAMPS AND MASTER CLASSES.

ATTENDENCE:

STUDENTS MUST ARRIVE ON TIME, LESSON TIME TIME LOST DUE TO LATE ARRIVALS WILL NOT BE MADE UP. STUDENTS ARE REQUIRED TO COMPLETE THE FULL SESSION, YOUR CLASS DAY, TIME AND TEACHER WILL REMAIN THE SAME FOR THE CURRENT & FOLLOWING SESSIONS.

YOU CAN REQUEST A DAY, TIME, OR TEACHER MOVE WHEN PRIORITY REGISTRATIONS BEGIN. THIS REQUEST WILL DEPEND ON AVAILABILITY AND IS NOT GUARANTEED. PLEASE BE CONSISTENT WITH YOUR ATTENDANCE.

 

LESSON CANCELLATION AND NO SHOW FOR CLASSES:

ALL CANCELLATIONS REQUIRE 48 HOURS NOTICE TO THE TEACHER AND OR ADMIN EMAIL. THIS IS SO OUR TEACHERS CAN ORGANIZE POSSIBLE TIME MOVES, PLAN FOR LESSONS AND NOT HAVE TO WAIT AROUND WITHOUT BEING NOTIFIED.

SICK DAYS, VACATION, MISSED CLASSES - there are no refunds or make up classes given for missed classes, for example : due to work schedules, traffic, bad weather conditions, vacation time or sick days This also applies to major events out-with our control, Weather Conditions, health issues, natural disasters, and announcements from the Health Ministry or Governments . Non-registered children can not take the class in the place of a student.

If you are on an extended leave, we will only consider pro-rating classes if you are missing more than half of the session. Please request in writing.

If the teacher is sick or bad weather (snow day) - we will try to accommodate, stand- in teachers, transfers to other classes, only if the schedule and availability allows the transfer. However we cannot guarantee any transfers due to limited spaces. We will do our best to offer a make up class, but it's not guaranteed. No refunds will be given for classes missed due to bad weather conditions. We are normally open on Snow days unless extreme school closures have occurred.

MAKE UP LESSON:


YOUR PRIVATE TEACHER WILL ALLOW FOR 1 MAKE UP LESSON PER TERM.

ANY CANCELLATIONS MADE WITHOUT 48 HOURS NOTICE WILL NOT BE MADE UP, THE TUITION FOR THE MISSED LESSON(S) WILL NOT BE REFUNDED OR CREDITED TO THE NEXT TERM.

THE MAKE UP LESSON MUST BE HONOURED DURING THE CURRENT TERM OR NON-TERM DATES BETWEEN THE CURRENT AND NEXT TERM.

WE WILL TRY OUR BEST TO FIND A SCHEDULE THAT WORKS, AND ALSO ASK THAT YOU MAKE EVERY EFFORT TO ACCOMMODATE BACK, NO CREDITS OR REFUNDS WILL BE GIVEN.

WE REALIZE THAT EMERGENCIES OR MEDICAL ISSUES MAY ARISE, PLEASE NOTIFY US IN WRITING WITH ANY MEDICAL DOCUMENTATION IN THIS CASE. THEN WE CAN ASSESS THE SITUATION. ANY CREDIT REQUESTS THAT ARE GIVEN MUST BE USED WITHIN 1 YEAR, AND IS NOT TRANSFERABLE.

IT IS NOT NORMALLY POSSIBLE TO GIVE MAKE-UPS FOR ANY GROUP ASPECT MISSED, DUE TO SCHEDULING. NO LESSONS WILL BE GIVEN TO A STUDENT AT EITHER THE HOME OF THE STUDENT OR TEACHER, OR ANOTHER LOCATION UNLESS APPROVED IN WRITING BY THE SCHOOL.CONCERTS AND PERFORMANCES ORGANIZED BY THE SCHOOL ARE EXEMPT.

THE TEACHER, IN TURN WILL GIVE THE SAME NOTICE AND WILL ORGANIZE MAKE UP LESSONS IF THEY ARE ABSENT OR SICK, AND WILL HONOUR MISSED CLASSES.


COMMUNICATION WITH TEACHERS, STUDENTS AND PARENTS:

IT IS IMPORTANT TO MAINTAIN AN OPEN DIALOGUE WITH TEACHERS, STUDENTS AND PARENTS TO ALLOW FOR PROGRESSION AND TO DISCUSS ANY CONCERNS OR QUESTIONS YOU MAY HAVE. PLEASE READ THE CODE OF CONDUCT FOR THE SCHOOL. PLEASE ALSO EMAIL THE ADMIN WITH ANY CONCERNS IF NEEDED, AFTER YOU HAVE SPOKEN WITH THE TEACHER. MOST CONCERNS CAN BE ADDRESSED AND RESOLVED WITHIN THE CLASS.

 

STUDENT WITHDRAWAL FROM AN INSTRUMENT:

4 WEEKS WRITTEN NOTICE IS REQUIRED PRIOR THE WITHDRAWAL DATE.

YOU WILL BE CHARGED FOR THOSE 4 WEEKS IF YOU ATTEND THOSE 4 WEEKS OF NOTICE OR NOT. A $25 DOLLAR ADMIN FEE WILL ALSO BE CHARGED ON TOP OF THE 4 WEEKS NOTICE TO REVERSE ANY FEES REMAINING AND FOR ADMIN TIME. IF YOU WITHDRAW FROM A TERM, YOU WILL NOT HAVE PRIORITY FOR THE FOLLOWING TERMS. THIS INCLUDES ALL WITHDRAWALS DUE TO ALL REASONS OF HEALTH AND SICKNESS.

 

NOTICE OF INTENT:



PRIORITY REGISTRATIONS ARE GIVEN TO RETURNING STUDENTS, PLEASE GIVE AMPLE NOTICE AT THIS TIME IF YOU ARE NOT ATTENDING THE FOLLOWING TERM, SO WE CAN ORGANIZE ANOTHER STUDENT. WE WILL NOT HOLD PLACES IF YOU ARE WAITING FOR ANOTHER SCHEDULE. WE WILL DO OUR BEST TO ACCOMMODATE, BUT CAN NOT GUARANTEE A PLACE UNLESS PROPER NOTICE IS GIVEN. SEE BOTTOM OF PAGE FOR DATES.

TERMINATION BY SCHOOL OR TEACHER:

THE SCHOOL AND TEACHER HOLDS THE RIGHT TO TERMINATE ANY LESSONS, AFTER COMMUNICATION AND DUE PROCESS HAVE FAILED TO RESOLVE MATTERS. THIS WILL APPLY TO MATTERS SUCH AS : EXCESS AMOUNTS OF LATENESS, ABSENTEEISM, UNACCEPTABLE AND DISRESPECTFUL BEHAVIOUR, LACK OF HOME PRACTICE, OR UNPAID LESSON FEES. TERMINATION OF THIS NATURE WILL BE FINAL WITH NO REFUNDS.

STUDENT / TEACHER EXPECTATIONS: 



PLEASE ALWAYS BRING MUSIC AND BOOKS TO CLASSES HOME PRACTISE IS REQUIRED, SO TEACHERS CAN DELIVER CORRECT TUITION, AND THE STUDENT WILL GET CONFIDENT WITH PLAYING AND PROGRESS. THERE WILL BE END OF SESSION WORKSHOPS, SHOWCASES OR RECITALS AT LEAST TWICE A YEAR IN DECEMBER AND JUNE. THE TEACHER AND STUDENT WILL WORK TOGETHER ON PREPARING A PIECE TO PLAY, THIS WILL DEVELOP PERFORMANCE AND PREPARATION SKILLS.

PLEASE BE PROMT IN ENTERING AND LEAVING THE TEACHING AREA, TO ALLOW FOR THE OTHER STUDENTS TO HAVE TUITION. PLEASE KEEP FINGERNAILS TRIMMED AND NO FOOD OR DRINKS IN THE STUDIOS, TEACHING ROOMS OR NEAR PIANOS.

PARENT PARTICIPATION:

PARENTS ARE ENCOURAGED TO ATTEND PRIVATE LESSONS, AND ARE REQUIRED TO ASSIST IN HOME PRACTISE. PARENTS ARE ASKED TO LEAVE DURING GROUP LESSONS TO ALLOW STUDENTS TO FULLY INTERACT.

PURCHASE OF MUSIC BOOKS AND BOOKLETS FOR THE PROGRAM ARE REQUIRED, ALSO ATTENDING THE END OF THE LESSON IS A GOOD WAY TO COMMUNICATE AND BE INVOLVED WHAT PRACTISE AND SKILLS ARE NEEDING TO BE WORKED ON FOR THE NEXT LESSON. IF YOU HAVE A YOUNGER SIBLING ATTENDING THE LAST 5 MINS CAN BE HELPFUL.

TUITION AND PAYMENTS:

SESSIONS ARE ORGANIZED AS FOLLOWS EVERY YEAR, SO WE HAVE A GOOD PROGRESSION AND CONTINUITY WITH SESSION AND LESSONS. ALL FEES INCLUDE ADMIN AND TUITION FEES FOR THAT TERM.

  • NOVEMBER 1ST - 14TH: REGISTER AND PAYMENTS FOR JANUARY WINTER SESSION, PLEASE GIVE NOTICE IF YOU ARE NOT RETURNING

  • DECEMBER: WINTER RECITALS AND WORKSHOPS

  • JANUARY: WINTER SESSION BEGINS 

  • FEBRUARY 15TH - 20TH: REGISTER AND PAYMENTS FOR MARCH SPRING SESSION, PLEASE GIVE NOTICE IF YOU ARE NOT RETURNING

  • MARCH: SPRING SESSION BEGINS

  • APRIL: OPEN FOR SUMMER CLASS & CAMP REGISTRATIONS 

  • JUNE 1ST TO 14TH: REGISTER AND PAYMENTS FOR SEPTEMBER FALL SESSION, PLEASE GIVE NOTICE IF YOU ARE NOT RETURNING
